Instructions for Submitting Proposals

New Proposals (and organizations coming off a rest year break)

All new applications to the Foundation must include the following:

  • Project Summary:
    • Project Title
    • Project Summary (limit 250 words)
    • Project Start and End Date
    • Grant Geographic Service Area
    • Grant Age Group Served
    • Requested Amount
    • Total Annual Organization Budget
    • Total Project Budget
    • Program Area and if applicable Sub Program Area
  • Narrative
    • Concise description of your organization including history, mission, number served, and type(s) of programs and/or services provided (limit 500 words)
    • Concise description of the project/program if applicable, including purpose, goals, objectives, number served, and timeline (limit 500 words)
  • Attachments (in PDF format)
    • Organizational budget for the present year, detailing proposed expenditures and secured and projected sources of funding
    • Program budget for the fiscal year most congruent with the period of time covered by the request, including secured and projected sources of funding
    • Financial statement showing actual revenue and expenses for the agency’s most recently completed fiscal year
    • List of Board Members and their affiliations
    • Copy of the agency’s IRS 501(c)(3) tax-exempt determination letter

Renewal Proposals

All renewal applications to the Foundation must include the following:

  • Project Summary:
    • Project Title
    • Project Summary (limit 250 words)
    • Project Start and End Date
    • Grant Geographic Service Area
    • Grant Age Group Served
    • Requested Amount
    • Total Annual Organization Budget
    • Total Project Budget
    • Program Area and if applicable Sub Program Area
  • Report Narrative
    • What were the specific measurable objectives that you set during the grant period (as stated in your proposal)? Did you exceed, reach, or fall short of your objectives? What methodology did you use to acquire the data? (limit 1,000 words)
    • What did you learn from the experience? What were the program’s successes, challenges, and changes? Have there been any unexpected outcomes? How did this program affect your program as a whole? (limit 500 words)
    • How were Kimball Foundation funds used? Do you think that this grant was instrumental in any way in attracting other funders? How so? (limit 250 words)
    • Are there any plans to continue this program? Do you have a plan for the ongoing financial sustainability for this project or program? What are the confirmed and/or possible sources of support? (limit 250 words)
    • Please address any significant changes that have occurred with the organization’s overall mission, health, finance, management, or programs since you last applied for the Kimball Foundation. Are there organizational issues that need to be addressed in order to continue and/or improve? What are they, and how do you plan to address them? (limit 500 words)
  • Proposal Narrative
    • Concise description of the project, including purpose, goals, objectives, and timeline. (limit 500 words)
