Receive,
sort and process mail; send pertinent information to directors;
- Handle all telephone and email inquiries;
- Prepare all foundation letters of acceptance and
denial, process acknowledgements and progress reports from grantees;
- Manage foundation data files and hard copy files;
- Bookkeeping: establish bank accounts (if necessary),
write grant and expense checks, reconcile bank statements, prepare materials
for tax accountants and auditors;
- Facilitate and assist the finance committee of the
foundation in monitoring of investment advisors;
- Host and participate in meetings with advisors and
board finance committee members;
- Assist with the establishment of an audit committee
and oversee the foundation's annual audit;
- Facilitate and assist the foundation board in identification
of additional acccounting, audit, and legal services;
- Assist the foundation board in adherence to by-laws
as regards election of members, officers, and committees;
- Maintain state and federal tax records and all documentation
for the foundation that is legally required to be available to the public,
and distribute as necessary;
- Organize foundation board meetings per foundation
by-laws;
- Prepare and distribute board meeting notices, agendas,
and minutes of previous meeting to board members;
- Host any meetings that the board deems necessary
or appropriate;
- Prepare summary reports of inquiries, requests denied,
and grants approved, organized by category;
- At the board's discretion, create a foundation webpage
on the PFS website which lists foundation guidelines, grant history,
or any combination of information which the board may approve;
- Publish the established guidelines and other pertinent
information on the webpage and disseminate the information to appropriate
organizations;
- Create and publish electronic foundation annual reports
(which can also be published in hard copy, if necessary);
- Research and apply technological and/or web-based
tools to facilitate communication between the foundation and its constituents.
